Fair Processing Notices for Schools
To meet the requirements of the Data Protection Act 1998, schools need to issue a Fair Processing Notice to pupils and/or parents summarising the information held about pupils, why it is held, and the third parties to whom it may be passed on.
In order to cut down the burden on schools, and after consultation with the Information Commissioner and schools, the Fair Processing Notice has been broken down into two layers:
- Layer 1 is a brief one page notice which is sent out by the school to pupils and/or parents;
- Layer 2 is the full Fair Processing Notice giving more information about the organisations who have access to information and the uses they make of it.
Layer 2 must be made available by the school for pupils or parents who wish to see them, and this can be either in hard copy held at the school, or via a school or downloaded below:

- Secondary Schools Fair Processing Notice - Layer 1

ContactPoint
Trafford Council will disclose information to Department for Children, Schools and Families (DCSF) for inclusion on ContactPoint. ContactPoint will be an electronic directory that will hold basic information on all children and young people in England up to their 18th birthday.
ContactPoint will help people who work with children to quickly find out who else is working with the same child, making it easier to deliver more coordinated support.
ContactPoint will only hold:
- Child's name, address, gender, date of birth and a unique identifying number;
- Contact details for parents or carers;
- Contact details of educational setting (e.g. school);
- Contact details of primary medical practitioner (e.g. doctor);
- Contact details of other services (e.g. youth workers and school nurses).
By law, ContactPoint cannot hold any case information (such as medical records, school records, case notes or assessments).
Only people who need to use ContactPoint as part of their job to help support children and young people will have access to it. These people will have undergone mandatory training and passed security checks before being granted access. Users will have a user name, a password, a PIN and a security token to access the system.
To ensure it is accurate, ContactPoint will draw information from a number of sources. Section 12 of the Children Act 2004 and the supporting Regulations provide the legislative basis for this system. ContactPoint will begin operating in 2008.
