One Trafford Response - Privacy Statement

A number of Public Services in Trafford have recently committed to work together to improve the way you and your family receive services.  In Trafford we have called this the One Trafford Response way of working. Working in a more joined up way like this will help you and your family with taking better control of your lives. Together we can provide the opportunities and support you need when you need it.

If you require a co-ordinated response then we will work together to offer support to help you and your family improve your current situation. The Public Services involved in the One Trafford Response way of working include Trafford Schools, Trafford Council, Trafford GPs, Trafford Housing Trust, Trafford Health Services, Job Centre Plus, Greater Manchester Police and the GMCA. 

We also have a few examples of how working together in this way creates benefits for different types of people.

How is this different to the support we have received in the past?

Previously, lots of different agencies may have worked with you and your family separately, trying to crack problems and provide their bit of your support needs. One Trafford Response way of working looks at helping you and your family as a whole, making sure the right support is provided at the right time, and preventing the work of one group clashing with another.

What do we do with your information?

At first information will be collected from you either on the phone or face to face, to help us find out what support you and your family need. A team of experienced specialists will then use this information and other information their organisations may already have about your situation, to work out the best way to help you with your problem. This also stops you having to repeat your information lots of times.

Making sure that we are providing the right services in the right way is really important. This means part of how we work will involve evaluating how the services provided helps the people taking part, or if they are not actually helping at all. Being able to do this research is a great help because it allows us to make improvements to the services for you and your family. 

What rights do you have to do this?

Each of the Public Services involved in providing you and your family help in the One Trafford Response way have legal responsibilities to offer these types of support, as they do currently. However by working together to provide these services in a joined up way aims to make it easier for you and your family to receive all the necessary support to help you and your family improve your current situation.

Why are we working in this way?

The One Trafford Response way of working offers support and advice to families who may be going through any of these situations:

  • Have been out of work or training for a long period of time;
  • Are struggling to cope with supporting their children to attend school;
  • Have children who are, or have been, in trouble with the police;
  • Are known to have been involved in anti-social behaviour;
  • Abuse and/or violence within the home;
  • Have had support from social care and are still having difficulties;
  • Have physical and mental health problems affected by life choices;
  • Substance misuse;
  • Housing issues;
  • Experiencing isolation in your community;
  • Have a variety of health and social care needs;
  • Experience debt or hardship.

If you or your family are going through situations like these, the One Trafford Response way of working wants to make it easier for you to receive the help you need.  With the different Public Services that would normally help you separately now working together, this can give a better picture of you and your family.  This means that the services you can get are more targeted to your needs.  Plus you will have a dedicated worker who will support you and your family. They will work with you in finding out what help and advice you need and they best way to get it to you.

You can view a list of the Public Service organisations involved in the One Trafford Response way of working here. You and your family’s information will be shared where it is necessary between these organisations. However, your information will only be shared with those who need to know it.  Also only the minimum amount necessary will be shared to support you getting the services you need.  This will reduce how much you are troubled to get these services. We will also always inform you of the services we plan to refer you to, or bring in as part of your team of support.

Who do we share your information with?

The sharing of you and your family’s information is a key part of the One Trafford Response way of working. Information will be shared to improve the types of support your and to make sure the work of one group doesn’t clash with another. You can view a list of all the information that might be shared, why it is necessary and how it will be used.

Your information will be shared when your dedicated worker and the team of specialist they work with, believe it is needed to benefit the support you and your family get.

What do we do to make sure your information is secure?

We take the secure sharing and storage of your information very seriously. Trafford Council and each of the organisations involved in the One Trafford Response way of working have a responsibility to take care of the information you provide them. As well as the information that they share between them. All information each organisation has is subject to rigorous confidentiality measures and procedures to make sure it can’t be seen, accessed or disclosed to anyone who shouldn’t see it.

All the organisation involved in the One Trafford Response way of working have policies and procedures, that all their staff are trained on and must follow. These set out how we protect your information, covering a range of information technology security areas.

How long will you hold onto my information?

Each organisation involved in the One Trafford Response way of working must keep your information for set periods of time to comply with different laws, regulations and guidance.  To make sure this is done properly they each have policies that list the length of time they will hold information.

What are my rights of access to my information?

You have the right to ask for access to any of the information that the organisations involved in the One Trafford Response way of working hold about you. If you want to ask for this information please contact the One Trafford Key Worker working with you.

What If I feel the information is wrong or you’re sharing it in ways I don’t like?

You have the right to complain if your feel your information is not being used in the right way. To begin with it may be better to speak with your allocated key worker to chat through your concerns.

If you do not want to do this, your key worker will be able to provide you with the contact details of the Data Protection team at their organisation who will be able to advise you  of how to make your complaint.

If you are still not satisfied with the response to how your information has been handled by the One Trafford Response, you also have the right to raise a complaint with the Information Commissioner’s Office.
