Travel Co-Ordination Unit Privacy Notice

This notice provides additional privacy information for:

  • Parents and carers of children and young people with special education needs and disability who receive travel assistance support from Trafford Travel Co-ordination Unit

Purposes

We collect, or obtain your personal information for the following purposes:

  • To determine eligibility for travel assistance
  • To ensure the correct travel assistance solution is in place
  • To ensure the safety of all children and young people receiving travel assistance
  • To be able to contact you to confirm eligibility
  • To be able to contact you in case of an emergency
  • To be able to contact you to confirm travel arrangements

Categories of personal data

In order to carry out these purposes we may collect and obtain:

  • pupil name
  • date of birth
  • home addresses
  • parent/carer contact details
  • emergency contact details
  • information regarding pupil’s physical or mental health conditions
  • parent/carers financial information (in some circumstances)

Legal basis for processing

The legal basis for processing your personal information is:  

  •  Sections 508A, 508B, 508C, 509AD and 508F of the Education Act 2011

Consequences if information is not provided

If you fail to provide certain information when requested:

  • we may not be able to assist in pupil travel needs
  • we may be prevented from complying with our legal obligations (if you fail to inform us of a change in circumstances such as a change of wheelchair).

Information sharing/recipients

We may share personal information about you with the following types of organisations:

  • Social services
  • Police
  • School

As well as information collected directly from you, we also obtain or receive information from:

  • Schools in relation to behaviour support plans, attendance figures, suitability for travel assistance training
  • Early Health Care(EHC) Assessment Team in relation to EHC plans
  • Social Services in relation to any social care requirements
  • TfGM regarding concessionary bus passes
  • Revenues and Benefits in relation to non-payment of fees
  • Legal in relation to tribunal cases
  • Parents or members of the public
  • Passenger assistants and contractors
