What information we collect

We may collect:

  • Name, address, date of birth and contact details for children, parents and carers
  • Information about family members and household circumstances
  • Education records, including progress and attendance
  • Health and development information, including special educational needs
  • Financial information where funding or benefits are applied for
  • Records of assessments, plans, meetings and services provided
  • Some of this will be special category data, such as:
  • Health information
  • Racial or ethnic origin
  • Religious or philosophical beliefs

Why we collect your information

We use your information to:

  • Provide education, childcare and family support services
  • Identify children and families who may need additional help
  • Assess and plan early years funding, including SEND support
  • Monitor children’s progress and wellbeing
  • Support children with special educational needs or disabilities
  • Keep children safe and meet safeguarding duties
  • Meet legal requirements for education and children’s services

Our lawful basis

The main legal bases we use are:

  • Public task – to carry out our duties under the Children Act 1989 and 2004, the Education Act 1996, and other laws
  • Legal obligation – to provide statutory services, including safeguarding
  • Vital interests – where it is necessary to protect someone’s life
  • For special category data, we rely on:
  • Health or social care purposes – under UK GDPR Article 9(2)(h)
  • Safeguarding purposes – under UK GDPR Article 9(2)(g) and Schedule 1 of the Data Protection Act 2018

Who we share your information with

We may share your information with:

  • Other council teams, including education, safeguarding and housing
  • Schools, nurseries, early years providers and childminders
  • NHS organisations, including health visitors, GPs and community health teams
  • The Department for Education
  • Ofsted and other regulators
  • Voluntary and community organisations who provide family support
  • Police or other agencies, if needed for safeguarding or crime prevention

We only share what is necessary and will always do so securely.

How long we keep your information

We keep children’s records for 35 years from the date of closure of the case, or until the child reaches the age of 75 if the case relates to safeguarding.
In some cases, we may need to keep records longer for legal or safeguarding reasons.

Automated decision‑making

We do not make decisions about you based solely on automated processing.
