One Trafford Response privacy notice

This page explains how we collect and use personal information for the One Trafford Response (OTR) programme.
What information we collect
We may collect:
- Name, address, date of birth and contact details for individuals and family members
- Information about household circumstances and relationships
- Education and training records
- Health information, including mental health and disability data
- Social care and safeguarding records
- Housing and tenancy details
- Employment, benefits and income information
- Police and criminal justice information, where relevant to the programme’s aims
This may include special category data and criminal offence data, which is more sensitive and requires extra protection.
Why we collect your information
We use your information to:
- Identify people and families who may benefit from early help and coordinated support
- Share information between agencies so support can be joined‑up and effective
- Monitor the effectiveness of services and improve outcomes for residents
- Meet our legal duties under safeguarding and service delivery laws
Our lawful basis
The main legal bases we use are:
- Public task – to carry out our duties under safeguarding and service delivery legislation
- Legal obligation – to comply with statutory requirements for safeguarding and service provision
- Vital interests – where necessary to protect someone’s life
For special category data, we rely on:
- Health or social care purposes – under UK GDPR Article 9(2)(h)
- Safeguarding purposes – under UK GDPR Article 9(2)(g) and Schedule 1 of the Data Protection Act 2018
For criminal offence data, we rely on:
- Substantial public interest – for the prevention or detection of unlawful acts and to protect the public
Who we share your information with
We may share your information with OTR partner organisations, which can include:
- Other Trafford Council teams, such as education, housing and social care
- Greater Manchester Police
- NHS organisations, including GPs, hospitals and community health teams
- Schools and early years providers
- Voluntary and community organisations providing support services
- Probation services and youth offending teams
We only share what is necessary and will always do so securely.
How long we keep your information
OTR records are kept for six years after the case is closed, unless there is a legal requirement or safeguarding reason to keep them longer.
Automated decision‑making
One Trafford Response does not make decisions about you based solely on automated processing.
